CCAG Vendor Information

Thank you for interest in attending CCAG as a vendor / exhibitor!  We are looking forward to you attending northern Ohio's only show dedicated to classic computing and gaming.

Please read this entire page, then feel free to ask questions and, of course, register to attend our popular show.

CCAG vendors receive the following benefits:

  • Display their wares for classic and current computing and gaming equipment at the show.  Please bring along whatever you like, but you'd be wise to have plenty of classic computing and gaming items 'cause that's what we're all about and that's what people are coming to see. (Working displays people can interact with sell better than non-working displays, by the way.)  Prohibited items for sale include, but are not limited to: unlawful items, items of questionable legality (such as hacking tools and 'archived' software), "adult oriented" items, and food and drink.  (There is an on site tavern that will handle the food and drink for the entire show.)
  • Have a link to their site is published on our home page.  (Optional.  This link will remain for one month then carry over to our "Historical CCAG section for the show for one year after the show's date.)
  • Contact information published in our show program.  (Optional.  Only available for pre-registered vendors.)
  • Allowed to have their literature distributed by CCAG staff to attendees when they arrive.  (Optional.)
  • Receive a list of attendees who would like to be contacted outside of the show.  (Optional.  The number of attendees "opting on" this list will not be 100% of all attendees.)

Date and Time of CCAG 2008

The show will occur in May 24, 2008 from 2:00PM - 6:00 PM.  Vendor setup is between 11:00 AM and 2:00 PM.  If you show up early, you will be turned away; so, do not show up early.  REPEAT!  DO NOT SHOW UP EARLY!  (Did we mention you shouldn't show up early?)

Table Rental

We have over 4000 square feet of space, lots of chairs, and electrical outlets to spare.  However, we only have 50 tables, and based on last year's show, they will  go fast!

We have two rooms.  One main room that will be "flea market" style and one side room where vendors with stand-up displays and cabinets will go.  (This is because we need to keep a minimum distance between the rows in the "flea market" area.)  We have 50 tables in the main room and 4 "spaces" for arcade style cabinets and displays in the second room.

Below is a map of the show floor:

CCAG 2008 Show Floor

Vendors may choose their location, but the CCAG committee has the final decision on table reservations and vendor locations.  (We can't have too many single tables dotting the place since most vendors take more than one table.)

Table rental cost which includes applicable Ohio Sales Tax is as follows:

  • 8 foot table, $12.00  (All the tables outlined in green on the map above are 8 foot tables.  Maximum of 3 per vendor.)

  • 6 foot table is $9.00.  (All of the table outlined in blue on the map above are 6 foot tables.  Maximum of 3 per vendor.)

  • Arcade Display Areas:  $21.00.  (There are only four of these:  tables 51, 52 & 53, 54 & 55, 56 & 57, 58.)  We will release all unsold Arcade Cabinet Display areas to regular vendors on May 1, 2008 or as soon 9 or fewer tables remain in the main show floor.

Every table space will come with a maximum of two chairs unless you tell us otherwise.  There are no curtains, backdrops, or "table skirts" available.  You may not affix anything to the walls that may cause permanent damage.

Want Electricity?  Bring an Extension Cord

We have lots of electrical outlets, chances are you won't be far from them.

If you want electricity, you must bring at least one 25 foot extension cord and a power strip.  You must use a power strip.

Want more electricity?  Bring more, longer extension cords and more power strips.  :)  'Nuff said.

Schedule

CCAG Setup:  10:00 AM - 11:00 AM.  (This time is reserved for CCAG Committee Members to prepare the hall.  If you show up during this time, you will find yourself drafted into helping, which would be much appreciated.  No sales during this time.  No vendors or attendees allowed in.)

Vendor Setup:  11:00 AM - 2:00 PM.  (No sales during this time.  No attendees allowed in.  Staff will be on-hand to direct you to your table or Arcade Cabinet Space.  Setup and tear down of your wares is your responsibility.  Staff will not be on hand to "watch your tables" for during any personal breaks; make friends with nearby vendors or bring a helper. :)

Show Time:  2:00 PM - 6:00 PM  (Sales allowed.  Door prize drawing one hour before the show closes.)

Breakdown:  6:00 PM - 8:00 PM  (No sales during this time.  No attendees will remain.)

Vendor Registration

There are two ways to register as a CCAG vendor, via email (preferred) or just show up (heavily discouraged).

To register as a vendor via email, email us by May 16, 2008 with the following information:

  • Your Name  (Or a contact name.)
  • Business Name  (If any.)
  • Primary mailing Address
  • Your and / or Your Business' Phone Number with Area Code
  • Web Site Address  (If any.)
  • The Table Numbers You Wish to Reserve (Note, NOT the number of tables.  The actual table numbers.  See map above.)
  • Number of Chairs Needed  (There are automatically two chairs for every table and three chairs for every Arcade Cabinet Space.)
  • Electrical Needed or Not  (Remember - Bring at least one 25 foot extension cord and one power strip if you need electricity.)
  • Permission to Release Contact Info  (Whether or not you'd like CCAG to include any or all of the information you've provided us on our site and promotional materials we publish for and at the show is completely your decision.  Some vendors choose to, finding that CCAG is an excellent opportunity to reach potential customers.  Other vendors are private collectors who prefer to remain private and we respect their wishes and will not release their information.)

You can register as a vendor by simply showing up at 11:00 AM, and you still will need to tell us all the information above at the door but:

  • You may not be able to get tables.
  • You won't be on our web site.
  • You won't be in the flyer passed out at the show.
  • You may not be able to get electricity without a long - and we mean 50 foot long - extension cord and power strip.
  • You may not setup until 1:00 PM when we will release any unpaid tables to vendors.  It is HIGHLY UNLIKELY that there will be tables available at the show.

It's really up to you, but we recommend registering by email.  It's free, simple, easy, and gives the the benefit of publicity.  You should really consider registering by email today!

Payment for Tables

All tables reserved by email on or before May 16, 2008 must be paid for, which means the payment must clear our bank on or before May 16, 2008.  If your tables are not paid for by May 16, 2007, they will go into the pool of open tables and will be issued on a "first come, first served" basis on the day of the show at 11:00 AM.

In the email we send you confirming your reservation, we will also send you information on how to pay.  (Key sponsor DigitalDinos is handling our billing this year.)  You will receive a confirmation email from us when your payment clears that will be your receipt.  There are no refunds past May 1, 2008.

You may only pay for tables at the show by cash!

Sign-In and Registration

Upon arrival all vendors and their helpers must register their name, mailing address, and email address with the CCAG committee.  If you do not register, you don't get in.

...And a Touch of Security

While on the grounds of the facility, all persons will wear a nametag.

Door Prizes

Vendors are not required to donate a door prize, but it would be nice if you did.  Something small, something big, something unusual.  It really doesn't matter.  If you tell us what you're donating ahead of time, we will list it on our web site and on the program we will be passing out at the show.  It will help us to defray the costs of holding the show even more.

Non-Attending Supporting Vendors

We realize that Cleveland, Ohio is pretty far for some vendors to attend, yet they'd like to support our show - and receive all of the benefits of being an attending vendor without the benefit of actually attending - with a door prize.  If you'd like to do that, we will list you on our site an in the CCAG program as a non-attending, door prize donating vendor.  Your byline won't be as big as vendors who do appear, but it will be here and in the hands of every attendee who walks through the door.  Just send us an email and let's get you set up as a non-attending, door prize donating vendor.
